JOB SUMMARY: This individual assists the Vice President of Academic Affairs by providing support for a variety of special projects, functions, and activities. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves Vice President’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications. Maintains Vice President’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. May represent the Vice President by attending meetings in the Vice President’s absence. Welcomes guests and customers by greeting them in person or on the telephone and by answering or directing inquiries. Maintains customer confidence and protects operational integrity by keeping information confidential. Prepares reports by collecting and analyzing information. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions. Manages on behalf of the Vice President the Board of Trustee Scholarship including correspondence with the high schools in Hawkeye’s service area, scholarship recipients, and parents and is responsible for recordkeeping and coordination with the Financial Aid Office and Business Office for the Board scholarship awards. Maintains the Academic Affairs MyHawkeye site. Coordinates with the Registrar’s Office for communication with students as necessary. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Contributes to team effort by accomplishing related results as needed. Performs other duties as assigned.
QUALIFICATIONS: Associates degree and three years office experience and/or equivalent combination of experience. Administrative writing skills, reporting skills, scheduling, Microsoft Office skills, organization, time management, office equipment maintenance, travel logistics, and verbal communication skills. Minimum typing speed of 40 net words per minute. Must be highly proficient with spreadsheet and word processing software. Preferences include directly relevant formal education, work experience using Power Point and database management, working knowledge of the Health Insurance Portability and Accountability Act (HIPAA), and working knowledge of the Family Educational Rights and Privacy Act (FERPA).
