JOB SUMMARY: This individual screens walk-in customers and assesses their needs. Provides responses to their questions or determines if they require additional information. Answers incoming calls from the main phone line in a timely manner. Provides excellent customer service to prospective and currents students, parents, and the general public. Must ensure that an individual is available to assist at the front counter at all times. Ensures that the office’s e-mail is operational and is worked in a timely manner. Assists customers with completing their financial aid forms (specifically the FAFSA form). Completes and mails all student requests for student financial aid award and expense information. Makes sure all documents are entered onto the computer, i.e. the date entry of incoming documents. Processes the mail in a timely manner. Ensures that all returned mail is properly rerouted. Assists the Financial Aid Administrative Secretary with keeping the voicemail message on the main phone line operational and with current information. Assists the Financial Aid Administrative Secretary with processing all printing and office supply orders, and keeping office supply inventory. Assists the Financial Aid Administrative Secretary with maintaining electronic documents and information in Hawkeye website and in My Hawkeye. Provides backup to the Financial Aid Administrative Secretary with the organization, maintenance of file storage for current and archived files. Provides backup to the Financial Aid Administrative Secretary with ensuring all financial aid publication displays in all campus locations, including outlying centers, has current and informative information for customers. Provides back up to the Financial Aid Administrative Secretary with ensuring financial aid information on office screen display in ComLink and other distribution sources are updated. Provides back up to the Financial Aid Administrative Secretary with maintaining minutes of all staff meetings and retreats. Assists with the process of all office printing and supply ordering requests. Provides backup to the Financial Aid Administrative Secretary with the updating of ATLAS and scholarship information. Assists with the maintenance of the office financial aid calendar with important dates for processes and procedures. Assists all advisors as needed, including grants and loan paperwork and its proper communication to students and parents. Assists the Financial Aid Services Coordinator with training of student employees. Assists with the tracking of completed student loan exits, repeated coursework and following up with student missing information communications. Positively represents and promotes Hawkeye Community College to all customers. Assists with all other tasks as assigned by the Financial Aid Services Coordinator.
QUALIFICATIONS: Associate degree in Liberal Arts, Business, or related field and one year relevant experience or equivalent combination. Two years personal computer experience. Knowledge of a financial aid or other college-type office setting. Knowledge of financial aid terminology and procedures. Ability to effectively use Microsoft Word and Excel. Ability to communicate effectively both orally and in writing. Analytical skills to be able to assist with customers and advisors with financial aid processes. Skill and accuracy in data entry. Must be able to work on tasks while performing receptionist duties. Ability to handle confidential information. Must project a positive professional image. Ability to work with diverse groups, faculty, staff and students. Working knowledge of the Family Educational Rights and Privacy Act (FERPA) and Health Insurance Portability and Accountability Act (HIPAA). Preferences include a bachelor’s Degree.
EMPLOYMENT STATUS: Wages expected to be $13.67 per hour and a choice of retirement programs-IPERS (defined benefit) or TIAA-CREF (defined contribution). Full time position includes a comprehensive benefits program including health, dental, vision, life, and LTD insurance; a Section 125 plan for medical and dependent care expense; holiday, personal, sick, and vacation leave.
